We are looking for a colleague to help us with various activities regarding our projects within our department, for the role of Project Administration Support.
You will be part of an international team and will be a main point of contact for our engineers.
Job responsibilities :
Keep inventory of our internal stocks, order re-fills when needed (electrical and mechanical).
Receive items ordered and check if they are the right quality and number.
Prepare components and materials for the prototype production.
Clarifies technical and commercial requirements together with the requester and the supplier.
Negotiates terms to guarantee the best conditions for acquisition of materials and services, by respecting procurement process, procedures and legal requirements.
Initiates Shopping Carts and follows the approval process.
Ensures PO / contract tracking, by maintaining permanent contact with the suppliers and the requesters and guarantees supplies.
Collaborate with Product Responsibles, Project Managers, Purchasers, Customers and Suppliers to get things done.
Keep the agreed deadlines within projects and budgets.
Plans and prepares samples for customers deliveries papers (quality and delivery notes), packaging, labels.
Collaborates with Logistics colleagues for to have all the paperwork done in time and correctly to not impact deliveries.
Brings all the packages to and from Logistics for the designated group.
Maintains samples tracking with all relevant information.
Consults internal customers for information regarding provision of materials / services and purchasing constraints, in his / her area of responsibility.
Prepares standard reports to make results transparent and control purchasing activities on a results oriented basis.

Job requirements :
Advanced experience in Office software suite, especially Excel.
Attention to details, quality oriented.
Ability to work simultaneously on several projects and under pressure, i.e. multitasking.
Good networking and negotiation skills.
Customer focus, Communication Skills, Initiative, Ability to Analyze.
English spoken and written - mandatory.
Knowledge of Contract Law, Procurement process knowledge is a plus.
