    POSITION, PURPOSE AND SCOPE OF WORK

    Perform administrative and project management duties for and on behalf of the Executive Management, VPs, Directors and Senior Management representatives.

    Gain knowledge on internal and external policies / procedures, put them in action and follow up on them when required. Improve support by developing a strong sense of anticipation of what might be required by drawing’ and preparing for possible scenarios to occur.

    Always deliver the highest standard support. Following that create professional image of the Superiors and company towards clients and staff.

    RESPONSIBILITIES :

  • Extensive calendar management on a daily basis; ensuring all data is up-to-date;
  • Timely, accurate and cost efficient accomplishment of given tasks and projects management activities related to the respective VPs, Directors;
  • Organization in detail and monitoring of client and internal meetings, conference calls, video conference meetings etc.
  • on request join meetings / calls, take meeting notes, collate and distribute them and take required actions;
  • Travel arrangements including travel documentation, logistics, accommodation and respective approvals; including travel / expense / accommodation and other log updates when required;
  • Handle expense entry for Superiors and credit card reconciliation; handle expense approval and / or check on content in employer expenses;
  • close collaboration with respective finance and expense teams across SBUs;
  • Handle time report entry in respective systems and approval and / or check on content in employer time report;
  • Support in various Superior’s projects : manage project related logistics including project numbers, resources, prices, descriptions, summaries and status;
  • on Supervisors request create or contribute to project / team / HR / Finance etc related reports and presentations;
  • Procurement support : Handle and lookup data on incoming purchase orders; Help / assist Directors / VPs with registration of purchases and sometimes with registration of purchasable products;
  • Create purchase orders needed for the supported unit, or for persons in the unit who need help entering purchase order into system (across business units affecting project);
  • Liaison with clients and close collaboration with staff across all units / departments on behalf of the Superiors and during their absence;
  • Inbox management on request (manage or sort incoming e-mail on behalf of the executive);
  • Maintenance of contact lists, mailing lists;
  • T-ROOMs / Share Drive / Contact lists and mailing lists administration and maintenance;
  • Knowledge of global and local policies and ability to action them;
  • Fluency in usage of respective client systems (travel&accommodation booking systems, time&expense, procurement, HR&Finance systems);
  • General administration duties and ad-hoc requests as required;
  • Collate and distribute : weekly, monthly newsletter;
  • Provide EA back-up support to others when needed.
