Job Description

The primary role of the Physical Assets Manager is to establish and oversee the daily and long-term strategic management of assets within the organization.

He / She establishes service standards, policies and processes and monitors asset’s throughout assets lifecycle.

The Physical Assets Manager partners closely with Procurement, Finance, IT support and the business managers to ensure assets are properly secured and managed through the asset lifecycle and implement processes that would facilitate controlling asset acquisition, maintenance, and retirement.

This position will be responsible for managing company assets that include, but are not limited to : game consoles, development kits, desktop laptop computers, custom PC’s, monitors, TV’s, mobile phone and tablets, peripherals, furniture.

Responsibilities :

  • Responsible for full life cycle Physical Assets Management in Ubisoft;
  • Recommend and create policy, processes and standards for asset and inventory management;
  • Organize receiving function (Receive, inventory, and label company’s assets; Check shipments when they arrive to ensure that all goods meet specifications and corresponds to the order);
  • Maintains inventory for the warehouse and other storage locations, updating it accurately and timely for all stockroom items;
  • Keep the related documents in an organized and easy to access manner
  • Update the records in the non-transfer register and keep track of the temporary imports / exports;
  • Manage the relation with custom representatives and with transport companies;
  • Ensure old assets are disposed, following internal workflows and procedures;
  • Interfaces with the ServiceNow configuration team to establish automated workflow for the Asset and Inventory management module;
  • Keep up to date the inventory in order to meet the company’s needs ;
  • Owner of the bi-annual physical inventory process and adjust the asset system;
  • Reconcile physical inventory with assets data managed by financial tools in the company and investigate any inconsistencies;
  • Develop a good working relationship with internal clients and share information on a regular basis;
  • Comply with laws, regulations and specific security requirements;
  • Prepare management reports;
  • The role includes team management responsibilities.
  • Requirements :

  • Effective time management and organizational skills are required;
  • Experience using support-ticketing systems is required - Service Now is a plus;
  • Previous IT experience will be considered a plus;
  • Ability to analyze requests, identify business needs, prioritize work for self and team members, formulate valid conclusions and objectively present any necessary information to business partners;
  • Professional and efficient communication skills with all involved parties;
  • Effective problem-solver;
  • Strong analytical skills and high attention to details;
  • Result & quality orientation;
  • Strong communication abilities in both oral and written form, in both technical and non-technical levels;
  • Is flexible and easily adapts to new situations
