Under minimal supervision manage overall documentation on assigned orders within PMO (Project Management Office) and serve as documentation primary contact.

Ensure all documentation requirements are met, following the requirements of the order while maximizing customer satisfaction.

Primary point of contact for all documentation communication within assigned orders.

Responsibilities

  • Manage documentation of concurrent cross-function projects (Tier 1 and 2);
  • Develop and maintain customer relationships;
  • Identify and analyze customer document requirements;
  • Review customer comments on documentation and ensure on time submission of all the documents;
  • Coordinate and expedite if assistance is needed from other departments;
  • Suggest efficient and proactive solutions, and create and implement a strategy for each order to comply with customer requirements and allow Emerson to invoice orders within agreed timeframe;
  • Supply the required documentation to internal / external customers, for approval or as final, at the agreed dates;
  • Convert and provide the documentation in the adequate form requested by the customer (electronic, paper, CD-ROMs), maintaining the highest standards of presentation;
  • Help develop the Supplier Document Index’ in line with project requirements ensuring that all non-applicable documents are removed and deviated against early on in the project;
  • Organize and submit documentation with transmittals as specified in the PO / Contract or Emerson procedures;
  • Preparation of final data books as specified in the PO / Contract or Emerson procedures;
  • Keep up to date the hard / soft copy documents and documentation databases;
  • Archive soft copies of documentation;
  • Determine and clarify the documentation communication process;
  • Understand each order submission process, including : Front Sheets, numbering system, decal data, revision control and method of submission (i.e. on-line);
  • Manage and track order documentation submissions and revisions with the assigned support team;
  • Provide regular documentation reports (including overdue and late documents);
  • Identify key milestone documents for submission and ensure on-time release to the project;
  • Take ownership of the follow up on documentation package with the customer / Sales Offices / Project Manager / Factories and other internal or external customers by email or (when is necessary);
  • Early understanding of the order documentation dossiers, their contents and due dates;
  • Provide inspection documentation packs prior to any inspection in the agreed format ensuring all certificates, drawings and reference documents are available;
  • Monitor and control the documentation close out of all projects to ensure that any retention is kept to a minimum;
  • Comply with the Emerson Ethical and trade Compliance polices.
  • Requirements

  • Experience :
  • Nice to have 1-year experience in customer service, Documentation Management experience preferred.

    Excellent Microsoft Office and Adobe PDF skills.

    Bachelor’s degree.
