What are the ongoing responsibilities of an Administrator / Reception Assistant?

This role is to provide first class administration, reception and general office support to our Bucharest office. The office has 30 people in a variety of departments.

This incumbent replaces the existing Receptionist for the duration of her maternity leave (18-month contract) and will work closely with the existing Receptionist / Office Administrator, primarily to support the administrative needs of the teams located in the Bucharest Office as well as provide Reception services.

General administration duties

  • Photocopying and scanning documents.
  • Archiving documents.
  • Maintain invoices logs.
  • Provide travel support.
  • Reception duties

  • Answer the telephone tactfully and efficiently, thus projecting a favorable image of the Company.
  • Ascertain the needs of visitors and callers and direct them to appropriate personnel.
  • Review and evaluate security logs and card access report to ensure security compliance within main reception.
  • Ensure the reception area is tidy and properly equipped.
  • Organise visitor security passes and maintain records.
  • Facilities duties

  • Sort and deliver mail.
  • Order taxis and international couriers as required.
  • Receive deliveries from suppliers.
  • Provide refreshments for visitors and arrange internal lunches when required.
  • Other administration duties

  • Maintain holiday and sickness records for Bucharest Office (including ordering electronic lunch vouchers).
  • Work with facilities staff based in Germany / Poland to provide on-site support as required.
  • Be point of contact to provide on-site support as required.
  • Order supplies for the entire office (coffee, water, stationary, etc).
  • Provide support for all departments (such as translation, sorting documents, etc).
  • What qualifications, skills and experience would help someone to be successful?

  • Ability to communicate in English effectively both orally and in writing.
  • Bachelor and / or Master degree Finance, Economics, Business or Accounting preferred.
  • Previous work experience on similar position.
  • Accuracy and attention to details.
  • Solid self-organization skills including time management and multitasking.
  • Ability to work independently and in a team.
  • Ability to learn new skills easily and readiness to broaden your knowledge.
  • Proficient MS Office skills.
