Principal Accountabilities :
The Recruitment Admin offers support for the recruitment process for British American Tobacco businesses at Regional level.
Works closely with Recruiters & or HR Business Partners in order to ensure timely and accurate completion of tasks;
Provides support to the Recruiters on candidates sourcing activities;
Arranges all logistical details for the team’s meetings and presentations;
Processing invoices and purchase orders, also creating vendors in SAP for the Recruitment team in line with company policy;
Responsible for setting up all the team’s meetings, conference calls, video conferences, telepresence and Teams;
Creates and maintains records and filing systems (paper and computer) to ensure readily accessible, up to date information in the context of the British American Tobacco records management policy;
Responsible for maintaining the team’s CRM (contacts relationship management) database up-to-date by recording all contacts in the system, meetings, meeting notes and feedback on regular basis;
Responsible with the storage and monitoring of the local end market contracts related to pre employment checks
Provides support for the Recruitment team for the recruitment admin activities;
Provide help on navigating internal resources on self-service and HR technology tools;
Respond and redirect personnel information requests, including verification of employment;
Ensures timely delivery of scheduled and ad-hoc reporting for the Recruitment team;
Coordinates with End markets and Sets up phone or face to face interviews for the candidates;
The Recruitment Admin is a recruitment system expert user, able to use all features and facilities of the system as well as other tools such as : search engines, databases, social networks.
Responsible for the accuracy of the data and timing of the reporting documentation (Performance Tracker, KPIs, Candidate Management, etc);
Ensures effective communication and customer focused behaviour to enhance customer satisfaction;
Excellent communication skills (both written and spoken);
Good planning, prioritisation and reporting abilities;
Fluency in English;
Customer oriented & consultancy skills;
Tactful and articulate;
Excellent organisational skills;
Able to act quickly and decisively;
Very good IT skills, ability to learn fast how to work with a new platform;

Experience in the recruitment field would be an advantage.
