We are looking for an experienced Office Manager to join the team and help us scale our office in Bucharest!

Responsibilities :

  • Be the first point of contact for all employees regarding all the internal HR admin questions and issues
  • Making sure that employee benefits are in line with agreements in place
  • Maintaining, managing and ensuring that all needed justification documents according to contracts in place are provided by the vendors, service providers, building management, cleaning and security services, phone and internet companies
  • Maintain the office condition and arrange necessary repairs when needed
  • Liaise with the building administrator to ensure all requirements are met
  • Ordering and providing the supplies for the office
  • Assisting in hiring & on-boarding, change and exit process, prepare and intermediate for relevant documentations (signing documents with new employees at the headquarters in Bucharest, and handing over work equipment, preparing workplaces for new employees)
  • Ensuring that all measures regarding safety and security are in place
  • Other activities connected to the financial department :
  • Administering the company’s documents flow, such as : receiving invoices, recording them into the related report for vendors’ evidence, and sending them for payment approval flow
  • Periodically sending the justifying documents recorded (alongside with the related summary) to the external consultants for their bookkeeping
  • Verifying the related documents, updating them, and reconciling all related to the inventory stocks
  • Making sure that items can be identified via a bar code or inventory number but also properly organizing them for an easy identification / tracing
  • Providing support to the financial department in respect to the closing activities (such as confirmations to be sent to the selected clients / suppliers and others)
  • Requirements :

  • 3-5 years of experience as an Office Manager or similar position, ideally in a startup / scaleup hyper-growth environment
  • You speak and write Romanian and English fluently
  • You are computer / digital savvy and can learn systems and tools quickly : we’re likely to change often as we grow
  • A high level of emotional intelligence (EQ) : you get people fast, and you know how to deal with emotions
  • A service-mindset : you love helping others and fixing their problems
  • Excellent time management and project management skills and the ability to multitask and prioritise work
  • You’re autonomous and take extreme ownership & pride over your work
  • Please note that this will be a 2 years fixed term contract.
