The Sales Support Admin manage the flow of sales operations ensuring compliance with GTX business model and full adherence to internal procedures.
Order Management : Offering support with creation of Scheduling Agreement & Sales Orders & Debit Requests and prototype Sales Orders check and release in SAP;
Ensure on-time sales orders, scheduling agreements, debit requests creation / update in SAP based on the requests received from Customer Desk team, Sales Managers and Program Managers ensuring compliance with HTS business model and full adherence to internal procedures.
Sales Order, Debit Request, Inquiry Conversion / OA, Interco Orders, Free of Charge Orders, Motorsport Sales Orders, Supplier Orders, Schedule Agreement for Customer, Schedule Agreement for Intercompany, Schedule Agreement 3PP Creation / Update, Prototype Order Check / Release)
Responsible for order management end to end process; take ownership on cross-functional meetings
to ensure orders are created in accordance with customer purchase order and as per the sales manager agreement with the customer.
Gather and validate the information from the requestors to create a new order in SAP (Sales Managers, Program Managers, Sales Support, Sales Admin, etc.)
Partner with Credit & Collection to drive less than 1% AR past due for price discrepancies.
Be the 1st point of contact for resolution of SO / SA / DR and invoice issues and manage resolution and root cause determination;
Building relationships with sales team members, customer desk, prototype and logistic teams.
Collaborate with IT and Business Excellence on process optimization and automation initiatives;
Ensure adherence to all SOX and standards, guidelines, policies, procedures, and SLAs.
Master data : Creation and maintenance of material master data and customer master data in SAP;
Responsible with creation and maintenance of material master data in SAP (Sales Views, Market views, Material info record)
Responsible with creation and maintenance of customer master data (Customer Creation / Update, Freight Price Condition Creation / Update, Carrier Creation)
Liaise with C&C and Legal department to ensure contracts comply with the internal procedures and policies.
Sales operations process improvement;
Responsible to identify and execute opportunities for process improvements, reduction of waste / identify value-added vs.
non-value-added steps in a flow of work. Collaborate with IT and Business Excellence on process optimization and automation initiatives.
Pro-actively and consistently communicating and escalating issues, following up and focusing on finding solutions that will lead to a short turnaround time frame resolution that would benefit both, the customer and the company.
YOU MUST HAVE :
Business or commercial bachelor degree or similar qualification;
At least 2 years experience in sales administration, order management, sales support and / or customer service, preferably in an international organization;
Experience of working with SAP system;
