Your Mission : Youwill be responsible for ensuring all our offices. The successful candidate will oversee the company’s Global offices facilities operations, working closely with the entire Real Estate team and cross-functionally within the organization.
You will be building real estate portfolio strategies to support employee experience while balancing operational costs through effective master planning.
This is a determined 1 year contract.
This is what you'll do at UiPath :
Managing & optimizing real estate portfolio and associated costs
Site selection, contract negotiations, project management, workplace strategy and design, lease administration, furniture acquisition, office relocations, management of real estate service providers, project budget development and related capital expenditure cost containment.
Review forthcoming lease expirations, mid-term restructurings and any proposed deviations from current contracts
Working closely with brokers on transactions and being constantly updated on market trends
Ensuring all requirements from UiPath Policies are met. Actively participating in creating or updating the Real Estate and Facilities Policies, when required
Working closely with Legal, AP, Controlling and Finance teams throughout the lease execution process in order to align the information and keep everyone informed
Creating and overseeing the open Jira tickets sent to the legal team. Keeping the legal team informed about all changes and / or additions to agreements.
Informing AP and Accounting about possible upfront payments and any other particularities of the agreements
Working with controlling team and updating the NetLease platform with the new leases, the lease modifications and early lease terminations (if any)
Keeping the SharePoint updated with all the related documents for each lease (MNDAs, agreements, additional documents, NetLease approvals etc)
Support project-based work in connection with the lease portfolio strategy and execution thereof
Developing business opportunities for cost savings
Proactively identify trends, exceptions and areas of risk. Working closely with the office managers and country leaders to establish the particular needs of each team
Facilities management and office administration. Working closely with the office managers globally on the entire process.
Developing, implementing and improving processes and procedures by working cross-functionally within the organization (eg Coupa & NetLease)
Coupa : Creating POs and managing changes to existing POs for the entire real estate portfolio (except Japan and India).
Dealing with invoice discrepancies in collaboration with the business stakeholders, supplier and Accounts Payable team. Initiating supplier set up and changes on existing suppliers with relevant approval.
NetLease : Creating new lease proposals and new leases. Managing changes to existing leases based on negotiations with the vendors, renewals or early terminations.
Working closely with the accounting and controlling teams on the process. Sending monthly reports and lease modifications requests based on needs.
Working actively to improve the internal processes and automating the processes when possible.
Constantly improving skills by attending workshops and online trainings.
What you'll bring to the team :
Three or more years of relevant work experience
At least a bachelor's degree in business management, facilities management, or a related field
Problem-solving and analytical skills
Maintenance experience, Budgeting skills
Interpersonal and communication skills
Multi-tasking skills; organizational and planning skills, Commercial awareness, time management, prioritizing and the ability to handle a complex, varied workload
Attention to detail but also the ability to see the implications for the bigger picture
